How Many Children Can One Performer Entertain at a Party?

To ensure each child receives the attention they deserve and that all planned activities can be completed, we recommend no more than 10–15 children per performer. If you expect more than 15 children, we highly recommend adding an additional character, performer, or host so every child can fully participate and all activities can be completed. Please provide an accurate headcount of the children expected so we can bring the appropriate supplies and audio equipment.

What Time Should I Schedule the Performer to Arrive at the Party?

We suggest scheduling the performer to arrive about 30 minutes to one hour after the party begins so guests have time to arrive before the entertainment starts. Please encourage guests to arrive on time so the performance can begin as scheduled. We also recommend scheduling the cake ceremony about 15 minutes before the performer leaves so there are great photo and video opportunities with the character.

How Should I Prepare for the Party?

Our performers will bring everything they need including music and a speaker. We simply ask that you provide a clean open space where they can comfortably perform, dance, and interact with the children. If gem makeovers or face painting are included, please provide a small chair or table for supplies along with a cup of water and paper towels. These simple preparations help ensure a smooth and magical experience for everyone.

Performance Area & Inclement Weather Guidelines

To ensure the best experience for your event, please provide a clean safe unobstructed area where performers can interact with the children. The space should be clean and dry, provide enough room for activities, and ideally include shade or cover if outdoors. Please keep pets, food, and drinks away from the performance area to protect costumes and props. If weather conditions such as rain, extreme heat, or high winds occur, clients should have a backup plan such as moving the event indoors, using a covered tent or patio, or rescheduling if necessary. For performer safety mascot characters must perform indoors if temperatures exceed 85 degrees Fahrenheit.

Do You Have to Tip the Performer?

Our package prices do not include gratuity for the performer. Tipping is never required but is always appreciated if you feel the performer provided a memorable experience. Many clients choose to offer a gratuity of around 15 to 20 percent of the total party amount, but the final amount is completely up to you.

Can I Request a Specific Cast Member for My Party?

While we can guarantee your character selection, we cannot guarantee a specific cast member. Our performers are assigned to certain characters and their schedules are arranged weeks in advance based on availability. If you request a specific performer we will do our best to accommodate the request but it cannot be guaranteed.

What Happens If I Cancel?

Your deposit secures your requested date and time. Deposits are not refundable if the event is canceled less than seven days before the scheduled party. However, we will retain your deposit and gladly work with you to reschedule an alternate party date based on availability. Rescheduled events must take place within one year of the original booking.

What If My Performer Does Not Show Up?

Our performers are extremely reliable and we make every effort to arrive on time and ready to perform. In the rare situation that an emergency such as severe weather, an accident, or illness prevents a performer from attending, you will receive a full refund and we will work with you to arrange another appearance free of charge. We take our work very seriously and understand how important your child's celebration is.

Do You Have Liability Insurance?

Yes. Fairytales & Heroes Entertainment is a fully insured company. If needed we can provide proof of insurance for venues, schools, or event locations. Our performers are professionally trained and strive to ensure that your home, property, and guests are treated with care and respect.

If additional performers are not added, the performer may need to limit or skip certain activities to accommodate the larger group.

✅ Free of Hazards – Please keep pets, food, and drinks away from the performance area to prevent accidents or damage to costumes.
Inclement Weather & Temperature Policy:
As weather can be unpredictable, we require clients to have a backup plan in case of rain, extreme heat, or high winds. Options include:
🔹 Moving the event indoors (living room, playroom, or event hall).
🔹 Setting up a covered area such as a tent, gazebo, or patio.
🔹 Rescheduling (subject to availability and booking policies).
⚠️ Important: Mascot Costumes & High Temperatures
For the safety of our performers, mascot characters can only perform indoors if the temperature exceeds 85°F. Please plan accordingly to ensure a comfortable environment for both the performers and your guests.

The amount is completely up to you. We recommend a standard gratuity based on the total party amount of 15% to 20% at your discretion.
