Booking & Payment Policies

• Deposit: A non-refundable $100 deposit is required at the time of booking to secure your event date and time.

• Final Balance: The remaining balance may be paid at any time after booking, but must be received in full no later than one (1) day prior to the event, unless prior arrangements have been made in writing.

Payments may be submitted using the following methods:

• Zelle (preferred)

• Venmo (preferred)

• PayPal (credit/debit cards accepted)

Once the final balance is received, your booking is considered fully confirmed and finalized.

Cancellations and Rescheduling

• Cancellations: Deposits are non-refundable for cancellations made less than seven (7) days prior to the event.

• Rescheduling: When possible, we are happy to assist with rescheduling within 12 months of the original event date, subject to availability.
  Rescheduling requests must be made at least 7 days in advance..

Character Appearance & Casting

• Costumes & Performers: We pride ourselves on providing high-quality costumes and professionally trained performers. While specific costume variations may occur due to performer size or availability, all costumes meet our high standards and are designed to deliver a magical experience.

• Substitutions: In the rare event that a specific character costume becomes unavailable, we will notify you promptly and offer either:

• a suitable replacement character, or

• a refund for that character appearance.

• Character Image Disclaimer: Images on our website and promotional materials represent the style, quality, and spirit of our character experiences and do not guarantee a specific individual performer.

All performers are carefully cast, trained, and coached to portray characters with consistency, enthusiasm, and professionalism. While we do our best to accommodate preferences, specific performer requests cannot be guaranteed.

Event Requirements

• Supervision: A responsible adult must be present at all times during the event. Performers are not responsible for supervising children.

• Safety: Clients are responsible for providing a safe and appropriate environment. Any unsafe or inappropriate behavior may result in the performer ending their participation without refund.

• Performance Area: A clean, dry, and safe performance area must be provided. For outdoor events, a shaded area is required. Performers are not responsible for weather-related interruptions.

Photography and Media

• Consent: By booking our services, you grant Fairytales & Heroes permission to capture photos or video during the event for promotional use.
  If you prefer not to have media used, please notify us in writing prior to the event.

• Client Media: Clients are welcome to take photos and videos for personal use only. Commercial use is prohibited without prior written consent.

Liability

• Accidents: Fairytales & Heroes is not liable for injuries or accidents occurring during the event. Clients assume responsibility for ensuring a safe environment.

• Damage: Clients are responsible for any damage to costumes or props caused by guests.

Force Majeure

We are not responsible for cancellations or delays caused by events beyond our control, including but not limited to natural disasters, emergencies, severe weather, or performer illness. In such cases, we will work with you to reschedule or refund payments as appropriate.

Code of Conduct

• Respect: Our performers are professionals and must be treated with respect.Any inappropriate behavior, harassment, or unsafe conduct may result in immediate termination of services without refund.

• No Smoking/Drugs: Smoking, vaping, or the presence of drugs near the performance area is strictly prohibited.

Changes to Terms

Fairytales & Heroes reserves the right to update or modify these terms at any time. The most current version will always be available on our website.
